PURPOSE OF THE POSITION 

Under the direct supervision of the Donor Development Manager, the Database Administrator (DA) provides administrative support and fundraising data to the Fundraising and other departments for further analysis using a fundraising CRM system. DA is responsible for uploading data files and running data cleansing routines. The role also involves providing regular reports, ensure data quality and efficiency and seeking technical excellences in the data management. 

 

MAIN TASKS AND RESPONSIBILITIES

Under the supervision of Donor Development Manager; 

DA manages the flow of data into the database and is responsible for uploading data acquired from external agencies and internal events. DA also supports analysis for decision making around fundraising activities by providing necessary information

  1.  Data Management and Report
    • Managing the regular and ad-hoc upload of data files to CRM system, ensuring the accuracy of the data loaded to the system by adhering to MSF’s data standards
    • Generating and presenting data in different reporting formats to help monitor fundraising performance such as monthly and Quarterly report, retention report, F2F report, TM Report and other requested reports and data
    • Ensuring quality of the information received and identifying and managing data errors with external agencies
    • Monitoring data entry procedures within FR Dept. and troubleshooting where necessary 
    • Providing support to Finance and Compliance Department in the provision of information and data to monitor income performance
    • Checking and cleansing data regularly
  2.  System Management
    • Maintaining and gate keeping of fundraising CRM systems and data management process. This involves carrying out quality assurance and spot checking donations 
    • Assisting Donor Development Manager in the input of database workflows or/and system upgrades
    • Communicate with vendors to ensure inputted data quality
    • Identifying and re-organizing existing data structure for improved data management
    • Benchmarking other CRM systems  
    • Acting as a primary contact point between FR Dept. and agency on systems issues
    • Training staff, external agency staff and office volunteers to ensure accurate use of the database
    • Creating and maintaining forms related to the use or/and request of the database 
    • Participating user group, meetings and attending relevant training sessions on the system at the request of Donor Development Manager
  3.  Departmental and Others
    • Manage the process of reporting when the Donor Care and Cultivation officer is not available 
    • Provide constructive inputs to department related activities (e.g. team meetings, strategic planning, cross - departmental support activities)
    • Willingness to adjust work schedule to suit the needs of the Fundraising responsibilities. This may include working flexible hours and providing support to other roles when required (networking, MSFK events and teleconferences with digital platforms)
    • Undertake such other activities as may be required and approved by the line manager and/or Fundraising Director

 

QUALIFICATIONS & REQUIREMENTS

  1.  Essential Skills and Experience
    • Bachelor’s degree.  
    • Minimum 1 (one) year of working experience in database management and/or knowledge in related field
    • Competent user of MS office especially for Excel 
    • Attention to details with a thorough approach to the area of data processing
    • Flexibility to take on other related tasks combined with willingness to learn 
    • Strong analytical, problem solving and organized thinking
    • Superior time management skills, ability to deliver to deadlines and prioritize time/resources
    • Good communication skills and ability to negotiate 
    • Ability to work in a team and foster team spirit
    • Strong commitment to MSF’s humanitarian aid work
    • Self-starter. Ability to work independently
    • Fluent in written and spoken Korean and English
  2.  Desirable Skills and Experience
    • Fundraising or data analysis experience
    • Experience of Korean Charity Database systems within a supporter care environment
    • Experience with SmartRaiser and/or donation CRM system would be an advantage
    • Good understanding of NGO and commitment to MSF   
    • Practical understanding of SQL 
    • Major in Statistics
