<PURPOSE OF THE POSITION>
Under the direction of the Human Resources Director (HR Director), the Departures & Administration Officer (D&A Officer) supports MSF Korea in the achievement of its social mission through providing excellent services in travel logistics and office administration. The D&A Officer is responsible for a variety of technical and administrative duties including; Office staff’s travel logistics and administration, general administration, office supply, support of international HQ staff and guests, Field worker transit processes as well as support for Field HR for networking.
<MAIN DUTIES AND RESPONSIBILITIES>
- General administration
- Executes tasks related to general office management such as reception, cleaning services, mail and delivery, security system, etc.,
- Facilitates ‘Work Health & Safety’ standards of the office environment; maintaining office environment to satisfy organizational and legal requirements for security and safety (fire and disaster prevention, etc.),
- Supports the maintenance of the office premises and infrastructure; including liaising with the office cleaner,
- Provides logistics and administrative support in the organization of various meetings as necessary.
- Staff Travel (Office)
- Provides support in travel arrangements for all MSFK staff and visitors including: ticketing, accommodation, insurance, and visas.
- Support for International Office Staff and Visitors
- Provides support in relocation; including visa, travel insurance, logistics, and shipping,
- Provides support with temporary and permanent housing for international office staff; including liaising with landlords, real estate agencies, and other service providers related to housing management e.g., insurance, internet service providers, etc.,
- Provides administrative support to international office staff, including alien registration, setting up banking,
- Provides other reasonable assistance for international employees and visitors as required.
- Procurement and Office Supply
- Maintains and updates office inventory (including ICT equipment),
- Works with various suppliers, vendors, and agencies for matters related to the administration and supply,
- Manages general office supply (e.g., stationery and consumables), collecting quotations, identifying suppliers, storage, etc.,
- Manages office consumables, including office stock (stationery, office consumables, business cards, etc.,
- Facilitates procurement and maintenance of ICT equipment (laptops, desktops, monitors, mobile phones, etc.).
- Field Human Resources activities under the guidance of FHR Manager
- Undertakes administrative activities concerning field employees before departure, during the mission, and after the return (Flight, visa, work order, vaccination, insurance, psychosocial support, etc.)
- Acts as the primary contact for the field between field workers and Operation Centers within MSF concerning all the transit matters,
- Researches and provides information related to professional associations and health institutions or any other relevant information for networking and outreaching in Korea and act as an administrative liaison,
- Participates in and provides administrative and logistical support for FHR events in Korea both offline and online.
- HQHR Support
- Supports HQHR recruitment by uploading job advertisements and scheduling interviews, and other administrative tasks,
- Administers and follows up on Annual and Sick leave,
- Coordinates legal mandatory HR training programs,
- Organizes HR events such as new joiners party, farewell party,
- Assists with other HR administration when requested.
- Departmental and Other
- Provides constructive input to department related activities (e.g., team meetings, PoA planning, cross-departmental support activities),
- Under the supervision of the HR Director, coordinates and works closely with MSFK’s HR Generalist and FHR Manager,
<QUALIFICATIONS AND JOB REQUIREMENTS>
Essential skills and experience
- Diploma or professional qualification in business administration or other relevant areas,
- Fluent in Korean and English
- Essential knowledge of general office management
- Proficiency with Microsoft Excel and Word
- Service-oriented, with a positive, Can-Do Attitude.
